This policy explains what personal information SOFTWARE 407 LLC ("we", "us") collects through this website and in the course of providing software engineering services, why we collect it, how long we keep it and what rights you have. It applies to enquiries and to client engagements.
1. Information we collect
- Details you send through the enquiry form: your name, work email, telephone number, company and role, a description of the task, and whether you need a non-disclosure agreement.
- Correspondence with us by email, telephone or during calls, including notes and documents you choose to share.
- Technical information recorded by our hosting provider when you load a page: IP address, user agent, requested URL and timestamp, retained in server logs for security and troubleshooting.
- Information you provide as a client in the course of a project: contacts, system documentation, sample data sets or access credentials where these are needed to build the agreed work.
2. Information we do not want
Please do not send personal data of third parties, production data sets, credentials or regulated data through the enquiry form. Where a project requires access to such material, we agree a transfer method in writing — and, where the engagement calls for it, execute a data processing agreement before any material is exchanged.
3. How we use information
- To answer your enquiry and prepare a proposal or scope of work.
- To deliver, support and invoice the services you engage us for.
- To keep records required for tax, accounting and contractual purposes.
- To protect our systems, prevent abuse of the enquiry form and diagnose faults.
We do not sell personal information, we do not use your data to train machine-learning models, and we do not add you to marketing lists without a separate, explicit request from you.
4. Legal bases
Where the General Data Protection Regulation or a similar framework applies, we rely on: your consent for answering an enquiry and for optional cookies; performance of a contract for services you have engaged us for; our legitimate interests for security, record-keeping and improving our own working methods; and legal obligation for accounting and tax records.
5. Sharing
We share personal information only with service providers who help us operate: our hosting and email providers, our accounting provider and, where a project requires it, the cloud provider you have chosen for the deployment. Each is bound by contract to use the information only for that purpose. We disclose information to authorities only where the law requires it.
6. Client material and confidentiality
Material you share for a project is treated as confidential. Access is limited to the engineers working on your engagement. Data sets provided for development and evaluation are stored in the environment agreed for the project and deleted or returned at the end of the engagement on your instruction, unless a retention period is agreed separately in writing.
7. Retention
- Enquiries that do not become projects: kept for up to 12 months, then deleted.
- Project correspondence and deliverables: kept for the duration of the engagement and for the period required by our professional-liability and accounting obligations.
- Server logs: kept for a short period for security purposes, then deleted.
8. Security
We use access controls, encryption in transit, and separate environments for development and production. No system is perfectly secure; if a breach affects your information, we will notify you and the competent authority where the law requires it.
9. Your rights
Depending on where you live, you may have the right to access, correct, delete or restrict the use of your personal information, to object to processing, and to receive a portable copy. Write toinfo@northboundai.icu and we will respond within the period the applicable law allows. You may also complain to your local supervisory authority.
